At IU, in Mac OS X, how do I configure Entourage 2008 or 2004 to read my Cyrus or IU Exchange mail using IMAP?

Note: Office 2008 requires Mac OS X 10.4.9 or later; Office 2004 requires Mac OS X 10.2 or later. UITS does not recommend any version of Office older than 2004, or any version of Mac OS older than 10.4.11.

In Mac OS X, you can configure Entourage 2008 or 2004 to read your Cyrus or IU Exchange mail at Indiana University using IMAP. However, UITS recommends that you do not use IMAP to connect to your IU Exchange account, as that will limit the functionality of Entourage; see At IU, in Mac OS X, how do I configure Entourage 2008 to access my Exchange account? or At IU, in Mac OS X, how do I configure Entourage 2004 to access my IU Exchange account?

Note: If you have never run Entourage before, a Setup Assistant will appear when you first launch the program. However, since these instructions explain how to set up your account manually, close that window if you see it.

  1. Launch Entourage. From the Entourage menu, select Account Settings... .

  2. In the Accounts window that appears, click the Mail tab, and then click New. If the Account Setup Assistant window appears, at the bottom of the window, click Configure account manually.

  3. In the New Account window that opens, from the pull-down menu next to "Account type:", select IMAP. Click OK.

  4. In the Edit Account window, click the Account Settings tab.

  5. In the "Account name:" field, enter a name for your account. This can be any name you wish; UITS recommends something descriptive, such as the name of the email host. For example, at IU, you could use Cyrus or Exchange .

  6. Check Include this account in my "Send & Receive All" schedule.

  7. In the "Name:" field, enter the name you want to appear in the "From:" headers of email messages you send. Normally, this should be your real name.

  8. Enter your email address in the appropriate field.

  9. In the "Account ID:" field, enter your email username (e.g., dvader ).

  10. In the appropriate field, enter the hostname of your IMAP server:

    • To access your Cyrus mail account, enter imap.iu.edu .
    • To access your Exchange account, enter imap.exchange.iu.edu .

  11. If you are the only person who has access to your computer, you may want Entourage to save your password. Check Save password: or Save password in my Mac OS Keychain. Then, enter your password in the "Password:" or "Save password:" field.

  12. Select Click here for advanced receiving options. This will bring up several additional mail reception settings. Check This IMAP server requires a secure connection (SSL). Then, close that window.

  13. You will be in the Edit account window.

    In the "Outgoing" or "SMTP" server field, type:

    mail-relay.iu.edu
  14. Select Click here for advanced sending options, and a small preference window will pop up. Set the following:

    • Check SMTP service requires secure connection (SSL) .
    • If you experience difficulty sending mail on port 25, check Override default SMTP port: and change the number from 25 to 465 or 587.
    • Check SMTP server requires authentication, and then select Use same settings as receiving mail server.
    • In the field under "Domain for unqualified addresses", you can optionally type a default domain. For example, specifying indiana.edu would allow you to send mail to most users at IU Bloomington by using just their usernames.

    Click the square in the upper left corner of the pop-up window to close it.

  15. Under the Options and Advanced tabs, you can change a few additional settings, but they are usually not required to access your IMAP mail. Click OK.

  16. Back in the Accounts window, if you have more than one account set up, click the one that you use most often, and then click Make Default.
